Registration of Seller Account
Shop -> Register
Required Information:
1) Username
2) Email address
3) First name
4) Last name
5) Shop name or your username
6) Same as above
7) Street address
8) Finnish Business ID or European VAT number (optional)
9) City
10) ZIP code
11) Country
12) Province (optional)
13) Phone number
14) Choose the option below, ”I am salesman”
–> Click the register button, and you will receive an email
Confirm your email address through the link and change the password

2) Control Panel
Here you can see an overview of your sales, products, the status of notifications, and orders.

3) Settings--> Delivery
Send from where you want, how you want, and when you want.
This step may seem challenging, but it’s enough to do it once.
Why don’t we do it for you? Because we don’t want to force sellers from all 27 countries to use a specific freight company, shipping cost, or impose a specific shipping day.
1) You can add extra options by click ”add shipping policies”
2) Delivery Zones and Countries.
Sell in the whole EU area (Select Europe Zone 1 and 2, the Baltics and Finland ) or select specific countries.
In the store, there are 4 different shipping classes that you can decide for yourself.
Edit the details for each selected shipping zone. For example, ”Europe – Zone 1” (click edit) -> Add a delivery method (select ”Postage”) -> click edit. Name the title according to the freight company, and set prices for your desired package sizes, such as Large, Medium, Small.
If your products are small, or you want to sell multiple items with one postage, choose ”per order” from the lowest option (Calculation method). The postage fee is determined based on the shipping cost of the most expensive item.
Whenever you add a new product for sale, choose a delivery class from the ’Delivery and Tax Management’ section that corresponds to one of the package rates you recently set.

4) Settings--> Payment
How do I receive payments for my products?
- Direct Stripe Express Account (Guided Setup): If you wish to receive daily payments for your sales, the set condition is to create a Direct Stripe Express account through guided setup. This is a secure and fair option for the transfer of funds between the seller and the buyer, as any refunds or returns are processed through the seller’s Stripe Express account. The minimum age requirement for this option is 18 years.
- Monthly Transfers to Stripe Account: If you are under 18 or unable to create a Stripe Express account, we don’t want to exclude or prevent younger individuals from participating in greener commerce. If you are at least 13 years old, choose Direct Stripe as your payment method. Your sales revenue will be automatically transferred to your Stripe account once a month, on the first day of the month.

5.1) Adding a Product
Products –> Add a New Product
- Product Title / Name.
- Select product type.
- Set the Price of Your Product Including Tax: The internal system of the store calculates the tax rates for each EU country. Remember to set packaging costs and your own labor in your price.
- Set Discounts for Your Product and Specify the Time Period.
- Choose a Category for Your Product: If you can’t find a suitable one, feel free to contact us with your suggestions at verkkokauppa@kaniva.fi.
- Add Relevant Keywords for Your Product: These will help your product appear in the store’s search function.
- Upload an Image(s) of Your Product Here.
- Provide a Short Description of Your Product: This will be visible on the product page in the store.
- Write a Longer Description of Your Product Here: This will be visible when the product is selected.
- Enable Inventory Management: Here, you can set the quantity of your product for sale. You can also set a minimum level that triggers a warning when your product is running low.
11. If Desired, You Can Specify Dimensions.
12. Remember to choose a shipping class for your product! XXS / S / M / L
13. Recommend Other Products or Suggest Another Product to Accompany the Buyer’s Selected Item.
- Provide Details About Your Product, Such as Color, Size, Material…: You can also add your own information if the default template doesn’t have suitable options. If you add your own, remember to add the | (pipe) symbol after each value. (Alt Gr + the key next to the left Shift key) Choosing shipping option; Leave blank for local selling or select EU countries.
- If Desired, You Can Specify a Discount for Purchasing Multiple Units and can set a Minimum and Maximum Order Quantity for Your Product.
- You Can Leave These at Default Settings. If Desired, You Can Write a Message to the Customer.
Remember to save the product information.


5.2) One product, but many options
If you have one product with different variations, start adding the product with the instructions in section 5.1 and fill in sections 1-12.

Choose the product type as ’Product with different variations.’

Go to product information at section 14 and add at least 2 details with values. For example, select ’Color’ and ’Delivery.’

Check the box for ’Used in options.’

Save to reveal section 5.

Choose ’More variety’ and click the ’Round’ button as many times as there are different options for your product. If you choose ’Create variations from all product details,’ the creation will use ALL values saved in the store for product details.

Check the boxes for ’In use’ and ’Inventory management?’ and upload an image.

Set the product price.

Enter the quantity available for sale.
Remember to save at the end.


6) Order Management
Orders –>
Here, you can filter received purchases/orders:
1) Based on user/product or selected time period.
2) You can export either all data or only filtered data into a .csv file for Excel processing.

7) Coupons
You can create and set up coupons for your store. KANIVA will not create them for you.

8) Reports
Simplified view of sales, and these details can also be exported to an Excel spreadsheet.

9) Notice
Here you can see the reviews related to your store.

10) Mark of value
Here you can see possible ”Badges” and their requirements.

11) Refund requests
Here you can see possible product return requests.

12) Following
Here you can see the followers of your store.

13) Announcements
Here you can see the most important notifications regarding your store.

14) Support
If you have enabled the support feature in your store, you can see messages here.

15) Settings--> Trade
Here you can see your store’s information and settings.

16) Settings--> Identification
Here you can see the authentication options for your store, which enhance your trust as a seller.
- ID Verification
- Address Verification (such as an electricity bill or similar official proof sent to your store’s address in your name)
- Social Profiles/Channels
- Business Verification (document where your name is associated with your Y-/VAT number)
NOTE: If you have a valid Y-/VAT number, remember to inform us. After verifying authenticity and validity, we will reduce your sales commission to 6 percent.

17) Settings--> Social Profile
Here you can set the social media channels in use for your store.

18) Miscellaneous Functions
1) Visit the store
2) Log out
3) Edit account / Change password.
4) Remember to press the ”Save Changes” button.

19) When you receive an order
When you receive an order, you will receive two messages. Please note that these messages will be in English if the order is placed outside of Finland.
1. Your 1st message: ”[KANIVA] New Customer Order”; it is already binding as the payment has been made.
2. Your 2nd message: ”[KANIVA] Your Customer Order is Now Ready”; it may take some time for this message, especially for your first sale. Check the FAQ for Stripe delays and payment speeds.
1) The default shipping address is the billing address.
2) The buyer can choose to set a different shipping address.
Orders and customer details can also be viewed in the admin panel under ”Orders,” where you can confirm the shipment of the order and, if you wish, send the buyer the tracking number for the package.
